Terms of Service
1. General provisions
These regulations (hereinafter referred to as the "Regulations") define the rules for using psychological, psychotherapeutic, and intervention services provided by PsycheClinic in stationary and online forms.
Booking a session means that you have read and accepted the contents of these Regulations.
PsycheClinic does not maintain medical records as defined by the Act of November 6, 2008, on Patients' Rights and the Patient Rights Ombudsman.
The client is aware that during the therapeutic process, there may be a temporary increase in the symptoms
that they report at the session as a result of therapeutic interventions.The client commits to actively participating in the therapeutic process, including completing agreed-upon tasks between sessions.
2. Scope of services
PsycheClinic provides psychological, psychotherapeutic, and interventional services to adults, adolescents, and couples, both in-person and online.
Services are provided by psychologists and psychotherapists cooperating with PsycheClinic, including those who run their own businesses, and by entities supporting the service delivery process.
The specialists cooperating with PsycheClinic subject their work to constant supervision, follow the code of ethics appropriate for their field, and act in the best interest of the client.
3. Confidentiality rules
All information obtained from the client during the provision of services is subject to professional secrecy, including the very fact of using PsycheClinic's services.
Exemption from professional secrecy may only occur based on a valid prosecutor's or court order and in cases specified by law (including Article 240 § 1 of the Criminal Code).
The obligation to maintain confidentiality is unlimited in time and applies even after the provision of services has ended.
Recording sessions is permitted only after obtaining the client's written consent, and in the case of minors, the written consent of their legal guardian.
4. Booking, schedule, payments, and refunds
Bookings can be made through the booking system available on www.psycheclinic.eu, or by phone or email.
The standard duration of an individual session is 50 minutes, unless otherwise agreed.
Payment for the session should be made no later than two business days before the scheduled session date via the indicated payment system, unless separate arrangements provide otherwise.
Failure to pay on time will result in cancellation of the booking, which is equivalent to the client canceling the session.
If the client cancels the session with at least 48 hours' notice, the client is entitled to:
receive a refund of the fee paid after completing the refund form available on the website www.psycheclinic.eu or
have the payment credited towards the next session, without the need to submit a separate request.
Refunds are processed within 7 business days from the date the refund request is received.
5. Rescheduling and canceling sessions
The client can cancel or reschedule a session no later than 48 hours before the scheduled appointment, without incurring any costs.
If a session is cancelled with less notice or the client does not attend, the session will be considered completed, and no refund will be provided.
If the therapist cancels a session less than 48 hours before it is scheduled to begin, the client is entitled to reschedule and receive one complimentary session.
PsycheClinic may waive the above rules in justified cases of sudden, random events or health issues, after individual consideration of the situation.
6. Refusal or termination of services
PsycheClinic may refuse or terminate the provision of services in the following cases:
a) Lack of acceptance of the Terms and Conditions or the therapeutic contract,
b) Late payments or outstanding balances from previous sessions,
c) Aggressive, violent, or vulgar behavior towards the therapist, staff, or other clients,
d) A state indicating alcohol consumption, drug use, or use of other psychoactive substances,
e) Inability to ensure safe conditions for the provision of the service on the part of the client or the facility,
f) Lack of cooperation in the therapeutic process, including persistent failure to follow agreements, interrupting the process without prior discussion, or prolonged lack of contact,
g) A determination that the health problem requires a different form of help than psychological or psychotherapeutic intervention (e.g., psychiatric intervention, hospitalization),
h) Conflict of interest or risk of violating professional ethics,
i) Failure to comply with health and safety rules and applicable procedures,
j) Habitual cancellation of sessions at the last minute, causing disruption to the therapist's work.
In the case of underage clients, PsycheClinic may also refuse to provide services in the following situations:
a) Lack of written consent from a legal guardian to participate in the session,
b) Lack of required participation of a legal guardian in the session,
c) Inability to confirm the client's identity or age,
d) Lack of conditions enabling a safe and effective session,
e) Significant difficulties with concentration that prevent participation in an online session, without the possibility of adult supervision.
7. Conducting online sessions
Online sessions are conducted using secure video conferencing tools.
The client is required to ensure technical and environmental conditions that allow the session to proceed correctly.
During the session, the client is required to refrain from using any tools that may be distracting, especially communication platforms and applications not related to the meeting.
Sessions cannot be conducted in locations that pose a risk to safety or confidentiality, especially while driving, in public spaces, or in other conditions where there is a risk of third parties being present or the client being distracted.
If it is determined that the conditions do not meet the safety or confidentiality requirements, the therapist has the right to interrupt the session and consider it completed.
8. Contact outside of sessions
For administrative matters, it is recommended to contact us by phone or email.
Contact through other communication channels (including social media and private messaging apps) is not permitted unless otherwise agreed upon.
In cases requiring urgent intervention, it is possible to arrange an additional intervention session outside of the standard schedule, according to the current price list and the specialist's availability.
9. Personal data protection
The administrator of your personal data is PsycheClinic, based in Warsaw.
The principles of personal data processing are set out in the Privacy Policy available on the website www.psycheclinic.eu.
Personal data is processed only to the extent necessary to provide services, in accordance with applicable laws.
10. Certificates of service use
At the client's request, PsycheClinic can issue a certificate confirming the use of our services, using the standard template applied by the clinic.
Certificates are issued only to the person to whom they pertain, or to their legal representative, after prior verification of identity.
Issuing a certificate in a form or content other than the standard may involve an additional fee in accordance with the current price list.
11. Complaints
Complaints regarding the services provided may be submitted in writing to the PsycheClinic email address within 14 days of the session date.
A response to the complaint will be provided within 14 business days of its receipt.
12. Final provisions
The end of therapy should be preceded by a discussion of this fact during a session and, as a general rule, a one-month notice period.
PsycheClinic reserves the right to change the Terms and Conditions for important reasons, in particular in the event of changes in the law, our services, or internal procedures.
The current version of the Terms and Conditions is available on the PsycheClinic website.
In matters not covered by these Terms and Conditions, the provisions of Polish law shall apply.
